Attendance Rhythm & Presence Policy
SAFEGUARDING DEVELOPMENTAL INTEGRITY THROUGH RHYTHM AND CONTINUITY
At Prime Montessori Academy, attendance is not a routine expectation — it is a pillar of the child’s developmental integrity. Montessori education unfolds through rhythm, repetition, and the delicate layering of mastery. Each day a child is present strengthens their concentration, social belonging, emotional regulation, and relationship to the prepared environment.
Absence, lateness, or early departures gently fracture this progression and affect not only the child’s individual experience but the harmony of the community. For this reason, presence, punctuality, and prepared continuity form a core component of the Prime Partnership Agreement.
I. GUIDING PHILOSOPHY
We affirm that:
Children flourish within an unbroken rhythm of presence.
The community thrives when each child arrives grounded and ready to engage.
Punctuality is an expression of grace, courtesy, and refined character.
Consistency protects emotional equilibrium and preserves the three-hour work cycle essential to authentic Montessori practice.
Presence is not merely attendance — it is the child’s daily inheritance of order, peace, and possibility.
II. ATTENDANCE RECORDING & DAILY CONFIRMATION
To uphold regulatory accuracy, partnership clarity, and seamless communication, Prime Montessori Academy requires two layers of daily documentation:
1. Graceful Attendance Confirmation (Family Submission Daily at Arrival)
Upon arrival each day, families must complete the Graceful Attendance Confirmation Form online.
This confirms:
The child’s safe arrival
Authorization of the day’s attendance
Any relevant notes about sleep, wellness, or morning rhythm
Any changes to pickup arrangements
This form ensures the Academy has up-to-the-moment information to support your child with clarity, safety, and attentiveness.
2. PrimeCare Digital Attendance Log (School Recording System)
In addition to the family-confirmed daily entry:
All arrivals, late arrivals, early dismissals, and end-of-day departures are recorded by staff in PrimeCare Management System and reflected in The PrimeCare Digital Attendance Log.
This dual documentation ensures MSDE compliance and maintains the integrity of state-required attendance reporting.
Together, these two steps create a graceful, premium, and transparent attendance ecosystem.
III. ADMITTANCE & DAILY ENTRY STANDARDS
Latest Admittance — 9:45 a.m. (Non-Negotiable)
The Montessori work cycle begins at 8:45 a.m. Children arriving after 9:45 a.m. have missed one full hour of concentration and cannot be admitted. Families arriving after this time must return at the next scheduled transition.
No Admittance Window — 1:00–3:00 p.m.
During nap/restoration hours and the afternoon deep-work cycle, the Academy cannot admit children.
Medical Returns
A doctor’s note is required for all medical returns.
Children who have received immunizations may not return the same day due to predictable post-vaccine discomfort.
IV. ATTENDANCE WELLNESS STANDARD - 8.5 TO 9 HOUR MAXIMUM
Children in The Petite Atelier and The Primary Atelier may attend a maximum of 8.5–9 hours per day. This protects:
Neural regulation
Emotional grounding
Healthy sleep cycles
A balanced relationship between academy and home

V. REPORTING ABSENCES
Absences must be submitted through the Graceful Absence Declaration in PrimeCare:
Submitted the morning of the absence or within two school days
Extended absences (3+ days) require written communication
Illness-related absences require medical clearance
This communication supports classroom readiness and a smooth re-entry for the child.
VI. EXCUSED ABSENCES
Prime recognizes the following as excused:
Illness
Specialist appointments
Religious observances
School-approved activities
Verified family emergencies
Extended medical conditions
Administrative approval
VII. UNEXCUSED ABSENCES & STATE COMPLIANCE
Prime is required to notify MSDE when:
A student accumulates five unexcused absences, or
A pattern of chronic attendance instability is observed.
Unexcused absences may impact:
Classroom placement
Enrollment status
Teacher recommendations
Future re-enrollment
A Prime Attendance Alignment Meeting may be required.
VIII. TARDINESS - PRIME EXPECTATIONS
Children are expected to arrive before 8:45 a.m.
Habitual tardiness may require:
A meeting with the Head of School
A Rhythm Alignment Plan
Review of continued placement
Punctuality is part of grace and courtesy — and is reflected in the child’s developmental record.
IX. EARLY DEPARTURES
Frequent early departures fracture the work cycle and disrupt a child’s developmental arc. Repeated occurrences may affect:
Placement
Evaluations
Recommendation letters
A Partnership Alignment Meeting may be scheduled for recurring concerns.
X. FAMILY VACATIONS & TRAVEL
While we honor family culture and global experiences, travel during the academic term disrupts Montessori progression, especially in the final year of Primary.
Families must notify Administration 14 days in advance and complete a Proactive Learning Continuity Plan.
Extended absences affect:
Mastery
Teacher evaluations
End-of-term reports
Placement decisions
XI. PARTNERSHIP STATEMENT - OUR SHARED STANDARD
Families who choose Prime Montessori Academy choose a higher standard — one defined by intention, rhythm, respect, and deep commitment to the child’s unfolding.
Presence is not mandatory. Once chosen, it becomes a covenant of excellence.
