The Communication & Conduct Compendium
Preserving Professionalism, Dignity, and Community Harmony
I. Purpose & Scope
The Communication & Conduct Compendium establishes the standards that preserve professionalism, dignity, and harmony within the Prime Montessori Academy community.
These expectations are essential to maintaining a respectful, focused, and child-centered environment for all families, staff, and children.
The Academy retains sole discretion in interpreting and applying these standards in a manner consistent with its philosophy, operational needs, and the well-being of the community.

II. Communication Channels & Boundaries
All communication must occur through official Academy channels, including the PrimeCare Management System, designated email correspondence, or scheduled meetings.
Families agree to:
use only approved communication channels;
refrain from contacting staff through personal phone numbers, text messaging, or social media;
avoid unscheduled or impromptu discussions during arrival, dismissal, or within the ateliers;
respect established communication structures and procedures.
Communication outside of approved channels may be redirected, declined, or deferred at the Academy’s discretion.
III. Tone & Professional Conduct Standards
All communication must remain respectful, composed, and professional.
Unacceptable communication includes, but is not limited to:
hostile, aggressive, or confrontational language;
accusatory or speculative statements;
repeated demands or pressure for immediate resolution;
passive-aggressive or undermining communication;
attempts to escalate matters in a manner inconsistent with Academy procedures.
The Academy reserves the right to determine whether communication meets these standards.
IV. Confidentiality & Community Boundaries
To preserve trust and community integrity, families agree to:
maintain strict confidentiality regarding other children, families, and staff;
refrain from discussing, comparing, or speculating about other children’s development, placement, or experiences;
avoid sharing internal Academy matters outside of appropriate channels;
uphold discretion in all matters related to the Academy community.
Breaches of confidentiality may result in enrollment review.
V. Communication Volume & Frequency
Communication must remain reasonable in volume and frequency.
The Academy may determine that communication is excessive if it includes:
repeated messages on the same topic within short intervals;
daily or frequent demands for updates outside established communication rhythms;
communication that disrupts staff capacity or operational flow.
Excessive or repetitive communication may be consolidated, limited, or redirected at the Academy’s discretion.
VI. Escalation & Response Framework
The Academy maintains a structured approach to communication concerns. Responses may include:
Redirection — guidance toward appropriate tone, channel, or process
Formal Notice — written communication outlining concerns and expectations
Communication Limitation — restriction to specific channels, formats, or frequency
Enrollment Review — formal evaluation of continued placement
The Academy reserves the right to determine the appropriate level of response based on the nature, severity, and frequency of communication.
VII. Administrative Authority
The Academy maintains full discretion to interpret, apply, and enforce all communication and conduct standards.
Decisions are made in alignment with:
the well-being of children;
the protection of staff;
the integrity of the Montessori environment; and
the preservation of community harmony.
VIII. Alignment with Enrollment Agreement
Communication and conduct are material to enrollment and continued participation at Prime Montessori Academy.
This Compendium forms part of the Enrollment Compendium & Legacy Partnership Codex and is binding upon all enrolled families.
Failure to comply with these standards may result in administrative action, including enrollment review.
The Academy’s determinations under this Compendium are final.
