PRIME MONTESSORI ACADEMY

The Communication & Conduct Compendium

Internal Policy Framework

Professionalism, Dignity, and Community Harmony

The Prime Standard

At Prime Montessori Academy, communication is intentional, respectful, and grounded in professionalism.

The strength of the environment depends not only on what is offered within the ateliers, but also on how the adults surrounding the child interact—with one another, with staff, and with the Academy itself.

Families are expected to communicate with clarity, composure, and respect for established structures. This includes honoring appropriate communication channels, maintaining discretion within the community, and allowing space for thoughtful, measured responses.

When communication is aligned, the environment remains calm, focused, and centered on the child. When it is not, the integrity of the experience is disrupted.

These standards exist to preserve the dignity of the community and the continuity of each child’s development.

Communication and conduct are therefore understood as essential to both enrollment and continued participation at the Academy.

  • This Compendium establishes the standards that preserve professionalism, dignity, and harmony within the Prime Montessori Academy community.

These expectations are essential to maintaining a respectful, focused, and child-centered environment for all families, staff, and children.

The Academy retains sole discretion in interpreting and applying these standards in a manner consistent with its philosophy, operational needs, and the well-being of the community.

  • Clear communication begins with shared structure.

All communication is guided through established Academy channels to ensure clarity, consistency, and respect for the work taking place within the ateliers.

    Families agree to:

    • use official Academy platforms and communication systems exclusively

    • refrain from contacting staff via personal phone numbers, text messaging, or social media

    • avoid unscheduled or impromptu discussions during arrival, dismissal, or within the ateliers

    • follow and respect established communication structures and timelines

Communication outside of approved channels may be redirected, declined, or deferred at the Academy’s discretion.

The Academy is not responsible for communication occurring outside its official systems.

  • At Prime, communication is grounded in composure, mutual respect, and a shared commitment to resolution.

    All communication must remain:

    • respectful

    • composed

    • professional

    • aligned with constructive problem-solving

Unacceptable communication includes, but is not limited to:

    • hostile, aggressive, or confrontational tone

    • accusatory or speculative statements

    • repeated demands or pressure for immediate resolution

    • passive-aggressive or undermining language

    • attempts to escalate outside established Academy processes

The Academy retains sole discretion in determining whether communication meets these standards.

  • Trust within the community is protected through discretion.

    Families agree to:

    • maintain strict confidentiality regarding all children, families, and staff

    • refrain from discussion, comparison, or speculation about other children

    • avoid sharing internal Academy matters outside appropriate channels

    • uphold discretion in all community interactions

Breaches of confidentiality may result in administrative review.

  • Thoughtful communication allows the Academy to remain responsive, present, and fully engaged with the children.

Communication must remain reasonable in volume and frequency.

The Academy may determine communication to be excessive where it includes:

    • repeated messaging on the same matter within short intervals

    • frequent or daily demands outside established communication rhythms

    • communication that disrupts staff capacity or operational flow

Excessive communication may be limited, consolidated, or redirected at the Academy’s discretion.

  • The Academy’s work is built upon trust, discretion, and professional integrity.

Families agree to uphold the dignity and reputation of the Academy, its staff, and its community.

    This includes refraining from:

    • sharing partial, speculative, or mischaracterized accounts

    • making statements that are misleading or disparaging

    • engaging in public or private communication that reasonably harms the integrity of the institution

Concerns are to be addressed directly with the Academy through established communication channels.

Public or external escalation without good-faith internal resolution may be considered a violation of this Compendium.

  • When communication becomes misaligned with these standards, the Academy may implement safeguards to preserve stability and community harmony.

    These may include:

    • restriction to written communication

    • limitation to designated channels

    • assignment of a single point of contact

    • scheduled communication windows

    • consolidation or deferral of non-essential communication

These measures are administrative protections and may be implemented at the Academy’s discretion.

Failure to comply with communication safeguards may constitute a material breach of this agreement.

  • The Academy maintains a structured and measured approach to communication concerns.

    Responses may include:

    1. Redirection

    2. Formal Notice

    3. Communication Limitation

    4. Enrollment Review

    5. Withdrawal

The level of response is determined solely by the Academy based on severity, pattern, and impact.

  • Communication and conduct are material conditions of enrollment.

    Patterns of misalignment may affect:

    • continued enrollment

    • program participation

    • re-enrollment eligibility

Where alignment cannot be restored, the Academy may initiate withdrawal at its discretion.

  • The Academy retains full discretion to interpret, apply, and enforce all communication and conduct standards.

All determinations are made in good faith to preserve:

    • the well-being of children

    • the protection of staff

    • the integrity of the Montessori environment

    • the stability of the community
